Without the proper technology and implementation of that technology your business is left vulnerable and made unproductive. 

Aaaaaayyyy-oooooo.  My name is Nathan Zimmer and welcome to IT INSecurities where we break down businesses and business owner’s worst IN-Securities as it relates to IT and show you how to tackle them with the proven moves. We will break down the importance of systems and why we do what we do.

I’m joined here with my co host and geek speak translator Matthew Zimmer as we look today at “The Importance of systems and Why we do what we do.”  

So Matthew tell me do you always translate Tech Talk or is this just something you do on your saturdays?

Tell us a little bit about the podcast.  Why are we doing this? Is it just because I know people will want to listen to all my IT horror stories?

IT is the only field where you are actually looked at as being more qualified if you are younger. 

Over the years we’ve worked with a variety of businesses in a variety of industries and have developed what we affectionately call our Motion Management System or “The System” for short.

It’s a 6 step process.  Matthew can you break down for us the first step in this process?

Step 1: IT Assessment

The first step is to perform a FREE IT assessment for all businesses that express any interest in working with us. Why?

Do this because we want to show the potential growth.

I started out working for my father when I was about 14 doing odds and ends, and I remember asking him where would be a good place to start learning something about IT?  I didn’t know what I didn’t know. 

Half the battle is learning what you don’t know so that you can implement it, and that’s really what we are all about. 

So I asked my father and what do you think he said Matthew?

He gave me that book right in front of you.  Open it up and take a look at it. Just pick a random place to read.

That’s what happens when we read tech reports.  It’s a scientific fact tested by years and years of experiments. 

“There is a creeping tendency to use made up acronyms at SpaceX. Excessive use of made up acronyms is a significant impediment to communication and keeping communication good as we grow is incredibly important. Individually, a few acronyms here and there may not seem so bad, but if a thousand people are making these up, over time the result will be a huge glossary that we have to issue to new employees. No one can actually remember all these acronyms and people don’t want to seem dumb in a meeting, so they just sit there in ignorance. This is particularly tough on new employees.

That needs to stop immediately or I will take drastic action – I have given enough warning over the years. Unless an acronym is approved by me, it should not enter the SpaceX glossary. If there is an existing acronym that cannot reasonably be justified, it should be eliminated, as I have requested in the past.

For example, there should be not “HTS” [horizontal test stand] or “VTS” [vertical test stand] designations for test stands. Those are particularly dumb, as they contain unnecessary words. A “stand” at our test site is obviously a test stand. VTS-3 is four syllables compared with “Tripod”, which is two, so the bloody acronym version actually takes longer to say than the name!”

Action Steps

  1. Whenever possible remove unneeded acronyms and jargon that doesn’t make sense.  Make your IT staff communicate with you.

Many times business owners are left in the dark because they don’t interact with their IT staff in a meaningful way.  

Step 2: Standardized Technology

Why do we use and recommend specific standardized technology? BECAUSE IT WORKS. It is important to have an understanding of the systems and technology that actually works.

  • Malware Bytes
  • Untangle
  • ShadowProtect

IT WORKS.  The price works. The technology works.

Step 3: Setup data protection measures

Use software like StorageCraft to backup your data with AES256 bit encryption.  This is military grade encryption.  

  1. These backups are the best in class technology for a very reasonable price.  
  2. They run off the same technology that the courts use to ensure data consistency and validity through chain of custody.  

Step 4: Implement Data Security Procedures

  1. What happens when employees get fired?  What about hired? Do you do something with their security credentials?
  2. Do they just have access to all your data?
  3. What about Emails or Firewalls? 
  4. Virus Protection?

Step 5: Automation – Use your systems

Automation is everywhere.  I we aren’t careful we will try to find technology as the solution to all our problems.  

Inventions No one Needed

These are things that no one needs!! If we aren’t careful everyone yells automation and technology so much we try to make it do everything.  IT’S NOT SUPPOSED TO.

Step 6: Training

The final step is training.  You go to sales training. To HIPPA training.  What about security training? What about training on the systems put in place?

IT is just like anything else.  There’s a lot to learn but when you start moving it will get easier.  Next time we will break down the 1st step the IT assessment and really look at the questions that are on that.
