System course. Now, I'm sure you've heard the

usual productivity advice that you need to focus

on your priority for the day or choose

one to three most important tasks. Now,

that is rock solid advice, but of

course the question becomes, how do you

choose what your priorities are? And

sometimes it's very obvious. Your boss maybe comes to

you and said, I need you to drop everything

and work on this today. Or maybe

you need to take a family

member to the doctor, or you

have a critical system that you're

responsible for and it's down. Or

maybe today is the deadline to submit the

slides to the conference you're speaking at. Not

that any of those are good situations

necessarily, but at least your priorities are

crystal clear in those cases, right? Well,

it gets more difficult when things aren't so

clear, when we stare at our to-do list

and we think, how can I choose a

priority when everything on this list feels important?

I actually had this situation the other day when

my wife happened to be in my office when

I was doing my daily planning. I

was flagging my priority tasks and my task

manager, OmniFocus, that's how I do it. And

she looked at my screen and she said,

you're really gonna do all that? And

I realized, no, there is really no

way I was gonna be able to

do all that. And I was setting

myself up for productivity pain by not

following our own 25X focus

filter strategy. So in this

episode, I'm gonna help you learn from my mistakes.

So let's start with what a focus

filter is. The focus filter is your

ability to identify what we call the

critical few, the one or more tasks

to do during the day that will

make a real productivity difference and help

move you forward towards your goals. And

this can be surprisingly hard because sometimes

tasks seem urgent, but they aren't truly

what you should be spending your time

on. Or it can be

so tempting, especially when you're busy, to

do what we call snacking, which is

just hitting those quick and easy tasks

because checking them off our list makes

us feel so productive. I'm sure

you've been there, we all have been. So

if that's what a focus filter is,

how do you choose those important tasks,

those critical few? And I

wish I could say there's some silver

bullet or quick hack that makes your

top priority task crystal clear, but

it doesn't really work that way. We all

have different work and life situations. We all
3:34
have different priorities. We all have different ways

of doing things. But here are some things

that we think can help. Number

one is to have a daily target. And

we are gonna be talking about this more

a key productivity practice is to give yourself

a daily target each day. And this is

an objective way to ask yourself the question,

how will I know if I've had a

productive day? And that doesn't need

to be numeric. but it should be

binary either you met your target or you

didn't. And so if you're

going to set that daily target, which we

recommend, then it stands to reason that one

of your priority tasks should be something that

helps you meet that target. The

second thing we recommend is to connect

to your weekly, your monthly, or your

quarterly goals. You can start

to have a true positive productivity cycle

when you can start to tie together

the planning timeframes. For example, at the

start of the quarter, you have quarterly

goals. Then each month, you make

sure that during the month, you have a monthly

goal that helps you meet that quarterly goal. Then

during each week, you're making sure that

your weekly goal contributes to achieving that

monthly goal. And then we get to

the day, which is what we're talking

about. You want to have part of

your daily priority be something, no matter

how small, that helps you achieve that

weekly goal. And if you can start

to tie together the different levels, then

you're almost by default going to be

making progress every single day. The other

thing you can do is to use

a prioritization tool. There are other prioritization

tools that you can use to help

you figure out what you could focus

on. There's tools like the Eisenhower or 2-2

matrix, the ABC prioritization

but either of these things can really

help you make sure that you're working

just checking off the easy or measurable
